1、Address
a definite address 地址要確切
When we write e-mail , the address is a problem that must not be ignored .There are three types of address in e-mail : the first type is an ordinary address , the second type is a “cc”address , the third type is an encrypted address .
當(dāng)我們寫(xiě)電子郵件的時(shí)候,地址是一個(gè)絕對(duì)不能忽視的問(wèn)題。英文電子郵件通常有三種類型的地址:一種是普通電子郵件地址,一種是抄送電子郵件地址,還有一種是加密電子郵件地址。
2、Subject
an concise subject主題要凝練
A good subject should be able to summarize the content of the text , to the other person knowing as quickly as possible what our text is trying to say . In other words , the subject is , in a way , a mouthpiece for the text . But we also should be careful to keep the theme simple .
為了使對(duì)方能夠盡快洞悉我們?cè)诒磉_(dá)什么,一個(gè)優(yōu)秀的主題應(yīng)該能凝練正文的內(nèi)容。換句話說(shuō),主題在某種程度上是正文的傳聲筒。但是,我們也應(yīng)該注意保持主題的簡(jiǎn)潔。
3、Salutation
an appropriate salutation 稱呼要恰當(dāng)
Some people jump straight into the text of an e-mail without so much as a “hi”. It’s polite to add a salutation , just as you would with a letter . That might look like : Dear Sir/Madam , Dear Mr.Johnson , Hi Sue , Hello Fred .
有些人寫(xiě)郵件不喜歡加稱呼,甚至連簡(jiǎn)單的“你好”都忽略。和你一樣,大家都認(rèn)為寫(xiě)明稱呼是一種禮貌。關(guān)于稱呼,你可以這樣寫(xiě):親愛(ài)的先生/女士、親愛(ài)的約翰孫先生、你好,蘇。
【1】正式的稱呼(長(zhǎng)輩/上級(jí)):Hi Sue / Hello Fred
【2】非正式的稱呼(同輩/親朋/同事):Dear Sir / Dear Mr.Johnson
4、Opening
a purposeful opening開(kāi)頭要澄清意圖
It’s important to clarify intent at the beginning , and thanking the reader is the best way to start an e-mail , especially in case of mutual request .
在郵件開(kāi)頭澄清你的來(lái)意非常重要,而感謝讀者是最好的開(kāi)場(chǎng)白,特別是在需要對(duì)方提供幫助的情況下。
【1】如果你主動(dòng)給別人寫(xiě)郵件表明意圖:I am writing to……
【2】如果回復(fù)客戶的咨詢,向他們表示感謝:Thank you for contacting us……
【3】如果對(duì)方已經(jīng)回復(fù)過(guò)你一份郵件,你要表示感謝:Thank you for your prompt reply. / Thanks for getting back to me .
【4】如果你詢問(wèn)一些信息,對(duì)方花了一點(diǎn)時(shí)間回復(fù)你:Thank you for providing the requested information .
【5】如果對(duì)方給予你一些特別的幫助:Thank you for all your assistance . / I truly appreciate……
【6】如果對(duì)方對(duì)你的工作提出了一些質(zhì)疑:Thank you for your feedback .
5、Body
a clear text正文內(nèi)容要清晰
The body is the main content of an e-mail , and lack of clarity in the text means that the whole e-mail fails . So making the text clear is a central task for the writer , and using numbers is the most common way to make content structured and cleared .
正文是電子郵件的主要內(nèi)容,正文表達(dá)不清楚就意味著整份電子郵件失敗了。所以,讓正文結(jié)構(gòu)清晰就成了寫(xiě)信人的核心任務(wù),而使用編號(hào)是將內(nèi)容結(jié)構(gòu)化、清晰化最常用的方法。
6、Ending
a happy ending 結(jié)尾要感謝
Thank the recipient again before you close the e-mail .在郵件結(jié)束之前,應(yīng)該再次感謝收信人。
